Operations Optimization

Cost reduction and efficiency. Analysis and recommendations, with implementation. Payroll and vendor work is analysis and negotiation support, not payroll processing or tax advice. Your CPA stays in the loop.

Analysis

Where the money goes, by service line, job and hour.

  • Business analysis

P&L review, unit economics, pricing and margin by service line, capacity and scheduling.

  • Payroll analysis

Labor cost by job, overtime patterns, scheduling against demand, contractor and employee mix.

  • Software and subscription audit

What you pay for against what you use.

Cost reduction

Fewer vendors, better terms.

  • Vendor audit and consolidation

Every vendor listed, priced and compared, then reduced to the ones you need.

  • Contract renegotiation

Support at the table when a contract comes up for renewal.

Systems and people

How the work moves, and who moves it.

  • Process mapping, SOPs and documentation

How the work moves, written down so it runs the same way every time.

  • Workflow automation

Intake to CRM to calendar to invoice, and the reporting on top, without hand entry.

  • Email, domain, workspace and security setup

Google Workspace, domain records and mail authentication set up correctly.

  • KPI dashboard and quarterly roadmap

The numbers that matter on one dashboard, and a 90-day plan reviewed each quarter.

The first 90 days

  1. Weeks 1 to 2

the diagnostic. Books, payroll exports, the vendor list, the software list and CRM data, reviewed with you.

  2. Weeks 3 to 4

findings. A written report: where the money goes, what to cut, what to renegotiate, what to automate. Your CPA reviews anything that touches tax or payroll.

  3. Weeks 5 to 8

implementation. Vendors consolidated, contracts renegotiated, the first workflows automated, the SOPs written.

  4. Weeks 9 to 12

the dashboard and the roadmap. Your KPIs on one page and the next quarter's plan.

  5. After day 90

a monthly review, or a fractional director role if you want the business side run the same way.

Questions

Do you process payroll or do taxes?

No. We analyze payroll and vendor costs and support the negotiation. Your CPA and payroll provider stay in place and in the loop.

What do you need from us to start?

Access to the books, payroll exports, the vendor list, the software list and whatever CRM or job data you have. Read-only access is fine.

How is this priced?

As the Grow step on the pricing ladder: a fixed engagement, or a fractional director role by the month. Not hourly.
